I manage my company operations while directly serving clients. Many people ask how I manage my time, and I'd like to share the secret behind it—making extensive use of great tools. Here I introduce three AI tools I use most frequently and how I actually apply them!
Essential for Brainstorming: ChatGPT
During the creative ideation phase, I frequently use ChatGPT. If you follow my short videos or have purchased my online courses, you'll definitely understand that ChatGPT not only answers questions quickly but also provides inspiration and thought guidance for creative writing.
When using ChatGPT, I often input a rough idea or question, and it generates multiple in-depth and creative solutions or suggestions, helping me brainstorm entirely new approaches within a short time. It can transform my scattered thoughts into logical frameworks, and even offer objective and diverse perspectives on my ideas—just like having a real person to discuss with.
For example, when exploring a field I'm completely unfamiliar with, I once asked ChatGPT: "I'm a liberal arts student who doesn't understand programming at all, but I need to hire engineers to build a website with frontend and backend from scratch. I'll act as a supervisor. What information should I request, and how should I evaluate if the quote is reasonable?" It generated the following content.

Then I continued with a follow-up question: "How detailed should the website requirements be?"

By continuing to add questions like this, you can gradually narrow down answers and solutions, and actually apply them in your work!
Efficient Presentation Assistant: Gamma
Gamma is what I consider the best presentation tool to use after Canva solved design problems! Because it deeply integrates AI, you can not only generate presentations from text but also have it automatically extend your content, arrange layouts, and place images. Then you press generate, and in about three minutes you'll have a complete presentation—truly convenient!
Previously, I always struggled with presentations, obsessing over micro-adjustments and centering details. But actually, aside from content, the presenter's body language, eye contact, and tone are also important. So I let go of my attachment to presentation design and focused my energy on the depth and breadth of content, leaving design to AI. I can complete a day's work very quickly and allocate the extra time to more important tasks.
Here's a presentation quickly generated by Gamma—really, just adjusting the font and you're ready to use it!

Transcript AI Assistant: Vocol.ai
Before AI technology emerged, when taking meeting transcripts, you probably encountered:
- Time-consuming: Manually recording meeting transcripts is extremely time-consuming, especially for long meetings.
- Accuracy issues: Manual recording may omit or incorrectly capture important information, especially during rapid conversations or when professional terminology appears frequently.
- Lack of timeliness: Manual transcript organization typically takes time, meaning records aren't immediately available.
- Distracted focus: Recorders must listen and record simultaneously, which may impact their understanding and participation in the meeting.
- Language barriers: For multilingual meetings, non-native speakers may find it especially difficult to accurately record transcripts.
- Cost concerns: Hiring professional transcriptionists or stenographers can be expensive, or the company may have no budget at all, requiring you to do it yourself.
- Fatigue and stress: Extended focus on recording meeting content can cause psychological and physical stress on the recorder.
Now with Vocol.ai, you simply upload an audio file or use Vocol.ai's recording function, and you can directly convert speech to text on the platform. It can also analyze the discussion's main themes and create summaries using AI. It supports multi-person conversations and automatically identifies different speakers!
Download the transcript as a text file, put it into ChatGPT, and you can quickly generate articles and meeting record formats—truly efficient and convenient!!!
These three are tools I really use all the time! I hope they're helpful to you
